Please read these terms and conditions carefully before your booking.

This subject property that we are promoting on this site is operated by individual owners and/or its representative and/or property managers.  The terms and conditions are set below for the use of its property.  You understand that by Booking this property you will automatically have “agreed” to the Terms and Conditions of this rental property.

 

RESERVATION TERMS AND CONDITIONS 

DEFINITIONS

“You” and “Your” means all members of your party.  “We” and “Us” means the owners of the subject vacation rental unit reserved and its managing agent.  “Partners” mean third parties.

 

RESERVATION TERMS:

All reservations are made and accepted subject to the terms set out in these conditions.  When you place a reservation, a contract is made, and we will confirm your reservation upon receipt of accepted payment.  Once a reservation has been made, you agree to abide by these terms and conditions. Written confirmation of your reservation will be considered confirmed as soon as this has been received and you receive a confirmation notice from us. Hawaii Ocean Club Realty Group Inc (HOCR) confirms the tenant stays at subject property when full payment is made and terms and conditions are accepted.  HOCR will perform its obligation to accommodate guest reservation and stay when all payments and terms are accepted.

AVAILABILITY

All units are subject to availability.  That means subject to the unit not having been damaged or rendered in a condition unsuitable for rental by the previous Guests or not in rentable condition.  In the event the unit is not available, we will try our best to find you a suitable replacement.  But, we cannot guarantee that we will find a last minute replacement.  For this matter, we will need to contact you within 24 hours before check in.

 

RENTAL RATES

All units are set at fair market value.  When we make a reservation, we cannot change the agreed upon rate once you get it in writing.

WHO IS ALLOWED TO STAY

Only the guests who are registered are allowed to stay overnight.  A $50 charge per unregistered guest per night will be assessed on your credit card or deducted from deposit or other payment options.  Maximum occupancy is subject to House Rules.

SMOKING

All Vacation Rental units are designated as a non-smoking property.  Violations of the Non Smoking policy will be subject to a surcharge of $500 to remove any odor caused by smoking.

 

No Pet will be allowed in our vacation rentals.  

Violations of the No Pet will be subject to a surcharge of $500.00

ADVISING OF DAMAGE OR LOSS

Please let us know right away if anything breaks or is damaged.  We want to be sure that anything requiring repair or replacement is done quickly as possible, for your continued enjoyment.

 

Please notify us immediately so that we may remedy the problem.  We will not be responsible for any equipment failure in the unit, provided that arrangements are taken for its timely repair.  If repairs cannot be affected to major household equipment such as power or water supply and air-conditioning within a 24-hour period, we will do our best to move you to another similar property, subject to availability, if this is not possible; our total liability shall not exceed the amount of one full week prorated rental payment.

A blackout and the suspension of water supply caused by natural disasters such as an earthquake, the tsunami are inapplicable.

 

If applicable; Internet WiFi service is provided in the unit. However, we cannot guarantee the speed of WiFi.  If there is an equipment failure or a problem getting internet service we will assist in troubleshooting initially by phone.  If we need to go to the unit it will only be during our normal business hours (9am-5pm M-F only).  If after hours or weekends it will be the next business day.  In some cases we can have you speak to the internet provider for assistance.  If service is still not available there will be a service technician to be scheduled.

 

FORCE MAJEURE

We regret that we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by “force majeure”.  In these reservation conditions “force majeure” means any event which we or the supplier could not, even with due care, foresee or avoid.  Such events may include, but are not limited to, war, threat of war, civil commotion or strife, hostilities, strikes or other industrial dispute, natural disaster, fire, flood,  acts of God, terrorist activities, technical problems with transportation, closure of ports, ferries or airports, quarantine, epidemics, weather conditions, government action, or any other event beyond our control.  You may wish to take a travel insurance policy which provides coverage against some of these events.  

 

PERSONAL INJURY

You understand that we cannot accept responsibility or liability for any physical accident, injury or illness sustained during your rental period, regardless of how it may occur.  You are liable for the loss of stolen personal property of yours from the property during the rental period.  We are neither responsible nor liable for any such loss.  We provide information and advice to you in an advisory capacity only, with no guarantee or promise of security, even where you make use of any advice given.  In the event that you have any property lost or stolen, please notify the police immediately by dialing 911.  Then please call us and advise us of the situation.

 

Direct Concerns to Owners Managing Agent

As a reminder, this unit is managed by the owners’ agent.  Any concerns will need to be directed to the owners’ agent.  The building may have a front desk but is not affiliated with our vacation rental.  Owners unit is self managed by us.  As a side note; in case of emergencies (i.e., water leaks, electric power outage, etc.) you may contact the building’s security office/staff. 

 

PAYMENT/DEPOSIT METHODS:      

Most Credit Cards (subject to a convenience fee)

Guest must provide credit card information prior to check in. Credit card will be used for incidentals and extra add on charges if applicable, ie, incidentals, electric overages, etc

        NO REFUND WITHIN YOUR RESERVATION CHECK IN & CHECK OUT PERIOD

Date Changes: Subject to availability. $50 fee.

Other Charges:

Check Out Cleaning Fee:  2 bedroom ($275)/ 1 bedroom ($195)

/Large Studio ($155) / Studio ($135)

(Beach Villas at Ko Olina/PH601 $395, OC2801 $450)

Lock out: $50 (if applicable)

Lost Key(s): Room key $20 Fob $50 (if applicable)

Lost Parking Pass(or Remote): $200(Waikiki Banyan), $50(other)

Moved Furniture: $50 

Damages: (assessment; cost to be determined)

Furniture and/or Household Goods Replacement:  (tbd)

Odor Removal: Actual (cost of professional odor removal tbd)

Meet & Greet request: if applicable (after business hours) $200  

Special request/deliveries/other: (tbd)

Utility: $100 electric cap (guest pay overage) for monthly rental

Example scenario: if electric bill comes out to $150 for the one month billing cycle during guest stay, then the overage is $50 (guest pay this overage).

 

The following items are subject to fines imposed by the governing House Rules of the Subject Vacation Rental Unit (violation fines passed on to guest infraction):

  1. a) A/C water leaking to the downstairs unit (note: must place a towel to stop from spillover; extra absorbent towels will be supplied)
  2. b) Trash rules (stringent rules) 
  3. c) and not limited to other (see house rules)

 

Check In/Check out and Registration:

3: 00pm check in day (note: some property check in time may vary; 4:00pm)

11:00am check out day (authorize late check out require written authorization-fee)

 

Note: The set times above is to assure housekeeping some time to get the unit set up and ready for the next occupants’ term.

To insure any earlier check in before 3:00pm on the check in day will need to pay for an earlier check in day (unless a written authorization for any courtesies)

Check In Instructions will be sent to you a week prior to your check in date.  Lock Box information and combination also will be sent (when applicable).  This is a self check in using the lock box to access door unit entry. 

Some Vacation Rentals Units that do not have a lock box will need prior arrangements for a “meet & greet” with key handover.

Flight Information

Your flight information will be needed so we are prepared for your arrival and check in. As a reminder Check in is 3:00pm or later.  You may give us a courtesy call to let us know of your arrival at the airport.  

             

 CHECK IN:

Note-please notify us of any noticeable damages or defects.   There will be a guest welcome letter with pertinent info; wifi user/pw, basic instructions of appliance and tv use.  Regards to TV/cable, we have a 

cable TV provided by the building. If cable TV does not work, please check the cable and connection. If the cable and connections are good, then we will need to notify the cable company to contact you directly to troubleshoot. We allow guests who have had experience in cable box  “reboot” to do a self troubleshoot for an immediate resolve. But, if you need us to assist in a “reboot” or troubleshoot it may be the next business day. 

(please note that we do a pre inspection prior to guest arrival to assure everything is operational and in working order)

  

CHECK OUT:

You entered and inspected the unit and of course were very impressed with how organized and clean the appearance of your unit.  We expect the same courtesy with your departure from the unit.  We understand there is a measure of wear that comes with the use of the unit and its furnishings and appliances. But, if there is excessive cleaning, arranging of furniture, organizing of cookware and other, there will be a fee assessed in addition to any cleaning fee that has already been established or not.

Cleaners will do the laundry of towels and bedding (please leave sheets on bed).Please leave keys in the lock box if applicable, or the same area (i.e., entry table, countertop, etc) where it was placed upon check in. 

 

Inspection of property following check out. 

Security deposit funds to be returned on the same payment source (process is approximately 1 week).

 

Acceptance of Terms and Conditions

By placing your reservation with us, you are deemed to have accepted these terms and conditions and agree to additional charges as listed.
